Conference Overview

The Schedule Overview report can also provide a conference overview which can be exported to Excel. From the Schedule Overview you can see

    • How many of each type of ticket for each session have been sold.
    • The companies/delegates.
    • An order history for a specified company i.e. what ticket types they have bought.

 

  • Go to Contract & Items > Schedule Overview in the main menu bar.

In the Hot Area, enter or Search for the conference code you wish to view. There is communication button next to this field if you would like to make a communication related to this conference, the communication is not linked to any company.

Underneath the conference code is a field for entering a company code, this will be explained later. First we will look at a conference.

Once you have entered a conference code, the window expands to show the sessions and ticket types/items.

Down the left hand side are the item codes for the tickets, there is a description box in the bottom left hand corner, clicking on an item code will display the description in this box.

Across the page are the sessions that have been set up for this conference. The numbers in green cells represent the number of that type of ticket that have been ordered for that session e.g. in the example above, in the Day2 pm session, two tickets have been sold so far. At the bottom of the grid there is a TOTAL row showing the total number of tickets for that session.

There is also a Filter button below the grid. This allows you to displays all the ticket types that have been set up for this conference or just the ones that have had orders placed for.

From this window you can see which companies placed the orders for the tickets. This can either be for an individual ticket type or for all the tickets in a session by using the total row. To show the companies, double click on the green cell containing the number. In this example we will show an advert type that was used once in an issue.

The window now changes to show a grid containing a list of the companies. The list can be exported to Excel by clicking on the Excel button.

There are three Edit Buttons which allow you to view information in more detail. Click on the line of the contract you are interested in, the first edit button will open the Contract screen with the session used. The second edit button opens the Companies screen of the company that placed the order. If you right click on this edit button you can view the order history of that company across the tickets in a conference as described later. The third edit button opens the Contract Screen of the selected ticket. To return to the main schedule overview window, click on the Done button.

Viewing a Company's Order History

There are two ways of looking at the orders a company has placed across a conference, either

  1. Either right clicking on the edit button as described above 
  2. Or Enter or Search for the company code in the field beneath the conference code.

Hit return and the window will expand to show a new grid.

Down the left hand side are the item codes (ticket types), there is description box in the bottom left hand corner. Across the top are the sessions, each session is in a separate column. The numbers in the green cells show what ticket type this company placed an order for and in what session. The second number shows the total number of tickets of that type in the session e.g. in the screen above, out of a total of 5 TICKETS in that session, our company placed an order for 3. You can double click on the green cell to view more details about the order.

There are two Filter buttons at the bottom, Filter 1 shows all the ticket types as above, Filter 2 only shows those ticket types that the company placed an order for. There is also a go to a New Button if you wanted to create a new contract for this company.
