Account Enquiry - Main Tab

 

The Main tab of the Account Enquiry windows contains a grid showing a list of the transactions held against this company. invoice lines/payments are shown in white, credit lines/receipts are shown in pink. The information can be filtered in a number of ways.

Sec. Currency
Use this drop down menu to display only transactions in a particular currency.

Company Info
Click this button to view any notes made against the company. For details on adding company info notes see Adding Company Information Notes. If notes have been made in this way, the I in the info button will be underlined.

Transaction Date
Enter a date to filter the grid to only display transactions on and after this date

Invoice / Credits
Filters the grid to display Invoice / Credit transactions only.

Receipt / Payments
Filters the grid to display Receipt / Payment transactions only.

Final Items Only
Display only finalised items.

Balance Items Only
Display only balance items. Ticking this box also brings up another tick box option of displaying Overdue Items Only.

Product Code
Select a product classification (Event/Publication) code, you wish to filter transactions by. The Clr button clears your selected criteria. Right clicking on the Clr Button places the current Transaction line Event/Publication into the filter.

Category 1, 2 & 3
Select categories you wish to filter transactions by. For more information on see Service Categories (Events) or Service Categories (Publications).

Write Off Total
Displays the total amount of money which has been written off during the current session. For more information see Allocation and Write Offs and Allocation Overview

Allocation Total
Displays the total allocation balance during the current session. For more information see Allocation and Write Offs and Allocation Overview

Edit Button
Click on a transaction line and hit the Edit Button to view more details about that transaction, see Account Transaction Details.

Go To Button
Click the Go To Button to open the transaction window of the selected transaction line.

Excel Button
The account enquiry can be exported to Excel by clicking on the Excel button. Right clicking on this button changes that output option to send to printer/screen (with the option to then print) to give a Statement of Account for the selected company.

Split Button
If you click on a transaction line that is a receipt/payment, a Split button will become available, allowing you to enter a value to split this transaction into 2 separate amounts.

 


The bottom section of the Main tab shows the following information:

<30 - 120+
The amount of money owed and the number of days the amount is outstanding.

Unallocated Cash
The amount of money on that account that is unallocated. To view these transactions the Final Items Only tick box must be unticked.

Last Invoice
The date the last invoice was created for this company. This field is filled in automatically by the system.

Last Payment
The date the last payment was made against this company. This field is filled in automatically by the system.

Last Outstanding Inv.
The date of the last outstanding invoice. This field is filled in automatically by the system.

Oldest Outstanding Inv.
The date of the oldest outstanding invoice. This field is filled in automatically by the system.

Auto Allocate
By Date
